This Privacy Policy explains what personal information US DOT UCR Filings collects, why we collect it, who we share it with, and what choices you have. US DOT UCR Filings is operated by eSwift IT LLC, a Delaware-registered company.
In short: we collect the information needed to prepare and submit your filing and to take payment. We share it with only two categories of recipient — our payment processor and the government registration portal. We do not sell your personal information, and we do not share it with advertisers, data brokers or any other third party.
1. Information we collect
We collect the following, most of which you provide directly:
- Business and filing information — company name, USDOT number, fleet size, business address, and the details required for your UCR or related compliance filing.
- Contact information — your name, email address and phone number.
- Payment information — processed directly by our payment processor. We receive confirmation of payment, the transaction reference, the amount, and limited card details such as the card brand and last four digits. We do not receive or store your full card number, expiry date or security code.
- Records of your agreement — the date, time and IP address recorded when you accept our Terms & Conditions at checkout.
- Technical and usage information — IP address, browser type, device type, pages visited and how you interact with the site. See section 4.
2. Why we use it
- To prepare, process and submit your UCR or related compliance filing.
- To take payment and to issue receipts and refunds.
- To send you confirmations, filing documentation and service-related messages.
- To respond to your questions and provide customer support.
- To keep records required for accounting, tax and dispute resolution.
- To detect and prevent fraud, and to maintain the security of our systems.
- To understand how the site is used so we can improve it.
3. Who we share it with
We share your information with only the following:
- Our payment processor — to take payment securely. Your card details go directly to the processor and are handled under its own privacy policy and security standards.
- Government registration portals and agencies — the Unified Carrier Registration Plan, state agencies and related government systems, for the purpose of submitting the filing you purchased. This is the core of the service you are buying.
We may also disclose information where we are legally required to do so — for example in response to a valid legal request, court order or regulatory obligation, or to establish or defend a legal claim.
We do not sell your personal information. We do not rent, trade or otherwise share it with advertisers, marketing networks or data brokers.
4. Analytics and cookies
We use Microsoft Clarity, an analytics service provided by Microsoft, to understand how visitors use our website. Clarity collects information about your visit — including pages viewed, clicks, scrolling, mouse movement and general device and browser details — and may reconstruct a playback of your session so we can see where people get stuck or confused. This is used only to diagnose problems and improve the site.
Microsoft processes this information under its own privacy terms, which you can read at privacy.microsoft.com/privacystatement.
We also use cookies and similar technologies that are necessary for the site to work — for example to keep your session active while you complete a filing and move through checkout. Most browsers let you refuse or delete cookies through their settings, though blocking essential cookies may prevent checkout from working.
5. How long we keep it
We keep filing and transaction records for as long as needed to provide the service and to meet our legal, accounting, tax and dispute-resolution obligations. Records connected to a payment are generally retained for at least the period during which a payment dispute or audit could arise. When information is no longer needed for these purposes, we delete it or render it no longer identifiable.
6. How we protect it
We use technical and organisational measures to protect your information, including encryption of data in transit using HTTPS, restricted staff access on a need-to-know basis, and payment handling through a processor that maintains its own PCI DSS compliance. No method of transmission or storage is completely secure, and we cannot guarantee absolute security.
7. Your rights and choices
You may contact us to:
- request a copy of the personal information we hold about you;
- ask us to correct information that is inaccurate or incomplete;
- ask us to delete information, where we are not required to keep it for legal, accounting or filing-record purposes;
- opt out of non-essential communications.
Depending on where you live, you may have additional rights under state privacy laws — including in California, Colorado, Connecticut, Utah and Virginia. These can include the right to know what personal information is collected, the right to request deletion, and the right to opt out of the sale or sharing of personal information. We do not sell or share personal information for advertising purposes, so there is nothing to opt out of in that respect. We will not discriminate against you for exercising any privacy right.
To make a request, email orders@usdotucrfilings.com with your name, USDOT number and what you would like us to do. We may need to verify your identity before acting on a request.
8. Children
Our service is intended for businesses and is not directed at children. We do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with information, contact us and we will delete it.
9. Links to other sites
Our site links to external sites, including government portals such as www.ucr.gov. We are not responsible for the privacy practices or content of those sites, and we encourage you to read their own privacy policies.
10. Changes to this policy
We may update this Privacy Policy from time to time. The date at the top of this page shows when it was last changed. Material changes will be reflected here before they take effect.
